MAYOR AND CITY COUNCIL <br />PAGE TWO <br />APRIL 15, 1988 <br />.'as determined that the cost for this work should not exceed <br />$10,000 excluding any plans and specifications that might <br />need to be prepared for the electrical recircuitry, and the <br />fact that a line item of $25,000 currently exists in the <br />1988 budget for this work, I would strongly urge that the <br />Council approve that this work be accomplished and authorize <br />staff to obtain quotes for all of this work with proposals <br />being submitted to the City Council for final approval for <br />all work exceeding $1,000 pursuant to the City s Purchasing <br />Policy. <br />As was indicated earlier, $25,000 is in the budget for this <br />work and should the work not exceed the estimated $10,000, <br />$15,000 will be left over for capital improvements to the <br />Ciiy offices. I have met with the clerical staff to discuss <br />what other deficiencies currently exist in the City Hall <br />area to determine what projects might be applied against <br />this additional $15,000. The staff has encouraged me to <br />move fc,ward with work begun earlier this year to make our <br />front counter cabinetry area more adaptable to the purposes <br />for which it is intended. Also, we are extremely short of <br />storage space for office supplies, particularly paper for <br />the photocopier, City letterhead and utility computer <br />forms. The clerical staff and members of the Management <br />Team have suggested that the work counter at the rear of the <br />office area could be replaced with one providing cabinetry <br />rather than drawers of a depth that would allow the storage <br />of paper products and cabinets mounted above the work <br />counter for the purpose of storing lighter -weight office <br />supplies ane other materials. This would free up the black <br />storage cabinets currently in thz hallway entering into the <br />Accountant's Offices for storage of computer printouts and <br />other items as well as records for which space does not <br />currently exist in our file cabinet areas. Should Council <br />endorse these ideas, I would propose to obtain quotations <br />from various cabinet-making firms including Northland <br />Woodworks and the firm that performed the initial cabinet <br />work on the front counter for proposal to the City Council. <br />Depending upon the cost of the cabinet work, the clerical <br />staff would also like to see completion of the placement of <br />new work space paneling in the general office area as <br />currently exists around the photocopier. <br />RECOMMENDATION: Staff recommends Council authorize the work <br />recommended by the Mechanical Engineer for the City's <br />heating, ventilation, and air conditioning system with <br />quotes being obtained for all work in excess of $1,000 for <br />approval by the Council. Staff also recommends the Council <br />authorize preparation of plans and specifications and the <br />obtaining of quotes for the recircuiting of the City Hall's <br />electrical system. <br />
