Item 04A <br />Page 2 of 2 <br /> <br /> <br />The Mounds View Vision <br />A Thriving Desirable Community <br /> <br /> <br />Without Community Development and a See Click Fix Integration, basically, a <br />barebones website with the AI Chatbot and Mass Notification system, CivicPlus would <br />charge $24,248.00 for the first year, with $25,460.00 the second year with a 5% uplift. <br />The barebones setup would cost the city $19,661.25 with the 25% signing discount if <br />enacted by October 1, 2025 with the total cost being $43,909.25 for the first year. <br /> <br />Strategic Plan Vision/Strategy/Goal: <br />1) Financial Stability: structurally balanced model, based on traditional sources that <br />fund the needs of the community with a reasonable tax base <br />2) Maintain the community’s infrastructure while providing high quality City services <br />and amenities, while creating a walkable, attractive, affordable and safe <br />community <br />3) Keep up with Technology including a robust and user-friendly website while <br />supporting City-wide software & technology improvements across departments <br />4) Keep up with and expand Technology. Explore Artificial Intelligence use and create <br />a policy regarding use <br />5) Research and determine the best available app or program for a robust Resident <br />Notification System <br />6) Ensure website is mobile user-friendly and responsive <br /> <br />Recommendation: <br />Overall, CivicPlus offers a modern and adaptable solution compared to our current <br />platform, Revize. However, the price is significantly higher than Revize as shown in the <br />attached spreadsheet. You can see that each item is added and the costs add up <br />quickly. REVIZE currently includes a notification system, but it is not a direct message <br />communication like CivicPlus would offer. They also have their own ADA compliance <br />program, which CivicPlus offers Audio Eye. <br /> <br />Staff would also like to point out that if we renewed our contract with Revize, we would <br />get the most up-to-date version that Revize offers which may significantly improve user <br />experience, especially when using mobile devices. The chief complaint of our current <br />website is the lack of responsiveness when using mobile devices. However, we need to <br />get more detailed information from Revize as to what their update and redesign offers. <br />We know it includes the AI Chatbot, which Civic Plus charges $5,000 per year. <br /> <br />Although, Staff believes the investment could offer long-term value in both improved <br />functionality and user satisfaction especially with CivicPlus’ Mass Notification system, <br />the cost-effectiveness does not seem to fit with an affordable solution. <br /> <br />Respectfully submitted, <br /> <br />Nyle Zikmund, City Administrator
