Page 2 <br />Receptionist <br />• Update Receptionist Procedures Manual as procedures are added or changed. <br />• Post City Hall closures on City Hall entrance doors one week in advance of a City closure and send to Public Works <br />and the Parks and Recreation departments holiday signage. <br />• Make sure copy paper is filled in the copy machine daily. <br />• Maintain the lobby, office supply/mail room and front counter area in a neat and orderly condition removing all <br />outdated notices, posters, etc. <br />• Replenish medical supplies in City supply cabinets when supplies are depleted for the Safety Committee. <br />• Mid -day and at the end of shift sanitize main door handles (including restrooms and the back entrance into City Hall), <br />lobby phone, computer and pens. <br />• Perform cash receipting (utility billing credit card payments) including collecting fees and issuing receipts (for certain <br />licenses, permits and bills). <br />• Assist with utility billing and accounts payable processes and procedures as needed. <br />• Order and keep inventory of City Hall office supplies. <br />• Put phones on call forward when stepping away from desk. <br />• Answer recycling questions. <br />• Schedule Council Chamber reservations for outside requests when requested. Inform internal staff on how to <br />schedule their own meetings using Outlook. <br />• Perform word processing, including, but not limited to form creation, fillable PDFs, and general correspondence. <br />• Assist with election activities and other administrative and municipal functions as directed. <br />• Provide Notary Public services to staff and residents. <br />Other Work Functions (Illustrative Only): <br />• Performs related work as required. <br />Knowledge, Skills, and Abilities Required: <br />• Ability to operate a computer and related hardware and software. <br />• Ability to operate a five -line telephone system, and standard office equipment. <br />• Ability to learn specialized software, systems or equipment related to business needs. <br />• Ability to generate applicable records, reports and files; ability to plan, coordinate, and review/proofread all materials <br />before finalized. <br />• Knowledge and experience of relevant software applications -spreadsheets, word processing and database <br />management. <br />• Ability to perform cashier duties accurately. <br />• Ability to effectively meet and deal with the public. <br />• Ability to communicate effectively verbally and in writing. <br />• Ability to handle stressful situations. <br />• Ability to maintain confidential information. <br />• One (1) year prior municipal experience helpful. <br />• Willing to become a Notary Public within six (6) months of employment. <br />• Ability to work 7:00 a.m. to Noon, Monday — Thursday. <br />• Ability to pass reference and background checks, and a hiring assessment with the City's psychologist before beginning <br />position. <br />Persons with disabilities: the above is a general listing of job duties.
