Technological Advances <br />ADDITIONAL FINANCIAL SOFTWARE A CQUIRED <br />As mentioned earlier, the ability to keep core functions of the Finance department operational <br />during a global pandemic was aided by the prior investments in technology. With the passing of <br />the CARES act, staff explored adding additional modules to its Financial software (Civic <br />Systems) that would allow the City to offer more services on an <br />online basis. In early spring staff remotely participated in the <br />demonstrations of additional software module’s features. It was the <br />consensus of both the Administration and Finance staff that securing <br />this software would align with our long- standing goal of the 24/7 <br />access to City Hall services. The additional software will provide the <br />ability to: <br />• Accept licenses and building permits applications online <br />• Perform the review process of licenses and permits electronically <br />• Providing e-mail notifications to the applicants <br />• Building inspections will be in an electronic format, which will be automatic stored in <br />Laser fiche <br />• Code Enforcement records will move to a software program designed manage, and retain <br />information regarding code enforcement activity <br />CONTRACTED WITH INVOICE CLOUD FOR ONLINE CREDIT CARD PROCESSING <br />To complement the addition of online services an online payment system was also explored. <br />Invoice Cloud was selected as the vendor for accepting and processing Credit Cards for Utility <br />Bill Payments, Permits and Licenses. The benefits for would include: <br />• Implement a modern customer engagement and payment solution that will expand <br />payment options for Payers. <br />• Supports multiple languages. <br />• Gain the ability for customers to adopting paperless billing. <br />• Provides customers with an enhanced ‘One Time Payment’ (40% of people prefer this <br />way to pay) that allows customer to still see 24 months of bill history without logging in. <br />• Customer can sign up for text or e-mail reminders for payments due. <br />• Invoice Cloud has an existing partnership with Civic Systems (City’s financial software). <br />• Payments receipts details from Invoice Cloud will be imported into the financial <br />software.
