S <br />ra <br />CITY OF <br />EST. 1906 <br />Special Event Permit <br />Memorandum <br />To: Hugo City Council <br />From: City Clerk Michele Lindau <br />Date: April 11, 2018 for Council Meeting on April 16, 2018 <br />Re: Wilson Tool Company Picnic on Saturday, August 11, 2018 <br />1. BACKGROUND <br />Wilson Tool has applied for a Special Event Permit to hold their annual company picnic <br />on Saturday, August 11, 2018, at the Hanifl Shelter and Fields. This event requires a <br />Special Event Permit approved by Council because there will be amplified sound, alcohol <br />will be served, and approximately 1,000 people are expected to attend. <br />2. DESCRIPTION OF EVENT <br />The picnic will take place between 11 a.m. — 4 p.m. at the Hanifl Fields Shelter and <br />fields. Wilson Tool will be setting up for the event of Friday, August 10th, and will also <br />be using the Rice Lake Centre for storage on Saturday. This is a private event and free of <br />charge to Wilson Tool Employees. There will be catered food and, because it is a private <br />event, no permit from Washington County Health Department is necessary for the serving <br />of food. The Hugo Lions Club will be making application to the City for a Temporary <br />Liquor License to serve beer and wine coolers during the event, and the applicant will <br />contact Washington County Sheriff's Office to secure two Deputies to be present during <br />the event. Numerous tents ranging in size will be rented and installed by the rental <br />company. Porta -potties, hand washing stations, and trash receptacles will also be <br />provided by Wilson Tool. An amplified PA system for music and announcements will be <br />used throughout the day. <br />3. CONDITIONS <br />The applicant has provided the City the completed permit, signed Hold Harmless <br />Agreement, and permit and rental fees. In accordance with this permit, the applicant shall <br />conduct the event as described on their application and herein in addition to the following <br />conditions. <br />Prior to the Event <br />1. Applicant will secure two deputies from the Washington County Sheriff's Office to <br />be present during the entire event. <br />
