City of Hugo <br />Position Title: Finance and Public Works Administrative Assistant <br />Department: Finance and Public Works Department <br />Immediate Supervisor's Title: Finance Coordinator and Public Works Director <br />Pay Grade: 4 <br />Purpose <br />Perform non -supervisory accounting and clerical duties for the Finance Department and provide <br />clerical support to the Public Works Department. <br />Organizational Relationships <br />Reports to: Finance Coordinator and Public Works Director <br />Communicate with: Department heads and other City employees. <br />Supervises: None <br />Receives work assignments from: Finance Coordinator and Public Works Director <br />ESSENTIAL FUNCTIONS <br />Finance Department Sup!) ort <br />• Computerize accounts payable claims and prepare journal entries. <br />• Prepare accounts payable checks for signatures and distribution. <br />• Update vendor master list. <br />• Maintain electronic and paper document filing systems. <br />• Reconcile and prepare fiscal year 1099 and additional reporting forms. <br />• Assist Finance Department with other duties as assigned. <br />Public Works Depwrtment Su port <br />• Provide office, clerical, and administrative support to the Public Works/Engineering <br />Department. <br />• Receive incoming telephone calls and respond to questions, complaints, or requests <br />regarding Public Works/Engineering Department procedures, regulations, operations or <br />services and direct inquires to department personnel as needed. <br />• Perform general office duties; including ordering of office supplies and routine <br />maintenance supplies for all department personnel. <br />• Maintain work order log and track progress. <br />• Assist with the development and maintenance of departmental information on City <br />website. <br />• Maintain electronic and paper document filing systems. <br />• Audit employee time cards for legitimacy and accuracy. <br />• Assist Public Works Director and Senior Engineering Technician with other duties as <br />assigned. <br />
