e. Steering Committee Meeting #2: The Architect will facilitate a virtual meeting with the City, WSB and <br />stakeholder committee to present and review the conceptual design development plans and related <br />cost considerations for review and feedback. The intent of the meeting is to determine the final desired <br />programming, layout, size, and materials as it relates to budgetary constraints to determine the <br />preferred approach to carry forward into the final design process. <br /> <br />f. Preferred Design Development: The Architect will work with the City to determine the preferred <br />approach for the multipurpose pavilion design based on the feedback from the conceptual design <br />review meeting. The Architect will prepare design development plans to include building sections and <br />elevations that illustrate the overall preferred pavilion size, layout and material selection with an <br />estimate of probable costs for construction and narratives for the structural systems and MEP design. <br />The Architect shall coordinate with WSB to refine the related exterior plaza seating and gathering spaces <br />surrounding the pavilion, including a community fire pit and stage area. <br /> <br />g. City Review Meeting: The Architect will facilitate a virtual meeting with the City and WSB to review the <br />preferred multipurpose pavilion and plaza design and estimate for review and feedback for further <br />refinements prior to the Steering Committee meeting. <br /> <br />h. Steering Committee Meeting #3: The Architect will facilitate a virtual meeting with the City, WSB and <br />stakeholder committee to present and review the preferred multipurpose pavilion and plaza design and <br />estimate for review and feedback. <br /> <br />i. Parks Commission Meeting: The Architect and WSB shall attend a virtual Parks Commission Meeting to <br />present the final multipurpose pavilion and estimate, along with the overall site plan and estimate, for <br />review and approval. <br /> <br />j. City Council Meeting: The Architect and WSB shall attend a City Council Meeting to present the final <br />multipurpose pavilion design and estimate, along with the overall site plan and estimate, for review and <br />approval to carry the preferred approach into the final design package for construction. <br /> <br />k. Deliverables: The Architect shall provide meeting agendas, graphics and other materials necessary for <br />the identified meetings and shall distribute meeting minutes / follow-up notes following each meeting. <br />All materials shall be provided to the City of Hugo in electronic form. <br /> <br />The City of Hugo will organize the steering committee members and will provide all mailings to residents. <br /> <br />Submittal Requirements: <br />Firms or persons wishing to be considered shall submit an electronic copy of their letter proposal in .pdf form to the City <br />of Hugo no later than 10:00 am on September 21, 2020 to include the following: <br />1. Firm Overview (1-page maximum) <br />2. Key Staff Identification and Statement of Qualifications (2-page maximum) <br />3. Project Examples with References (5-page maximum) <br />4. Scope of Services / Project Design Approach (5-page maximum) <br />5. Fee Proposal (1-page maximum) <br />In-person or virtual interviews shall include approximately 30-45 minutes of discussion of the submitted proposal and a <br />question and answer session with H. No formal presentations by the consultant will be included.
