Finance and Public Works Administrative Assistant Job Description <br />Page 2 of 2 <br /> <br /> Maintain work order log and tracking system <br /> Assist with the development and maintenance of departmental information on the City’s <br />website <br /> Maintain electronic and paper document filing systems <br /> Audit employee time cards for legitimacy and accuracy <br /> Assist the Public Works Director and Senior Engineering Technician with other duties as <br />assigned <br />General City Office Support <br /> Maintain current Laserfiche system and update files as needed <br /> Assist other departments with the scanning of documents and files <br /> Assist with searching and retrieving of scanned documents <br /> Gather information for data requests as requested <br /> Assist with other duties as assigned <br /> <br />REQUIRED KNOWLEDGE, SKILLS, and ABILITIES <br /> Knowledge of current accounting practices and procedures <br /> Knowledge of department operations, policies and procedures <br /> Knowledge of the City’s overall structure and operations and pertinent City ordinances <br /> Knowledge of modern office practices, procedures and equipment, including use of <br />computers <br /> Knowledge of Microsoft Excel, Word and other standard office software <br /> Skill in handling financial transactions <br /> Ability to type and enter data with speed and accuracy <br /> Ability to communicate effectively with City staff and the public <br /> Ability to maintain confidential and sensitive information <br /> <br />MINIMUM QUALIFICATIONS <br /> High school graduate or GED equivalent <br /> Post-secondary training in accounting procedures <br /> One year of work experience in a municipality or service related business <br /> Possess a current driver’s license <br /> <br />PREFERRED QUALIFICATIONS <br /> Knowledge of Fund Balance Software <br /> Knowledge of Laserfiche Record Retentioin Software <br /> Knowledge of Permit Works Software <br /> <br />WORKING CONDITIONS <br />Work is performed in typical office environment at the Public Works Facility that consists of an open <br />work area and front counter for providing customer service. Sits for extended periods of time. <br />Work place is generally quiet, but there may be occasional exposure to loud noises at the Public <br />Works Facility. Uses near vision, ability to focus, sense of touch, and hearing. Uses fine and <br />large motor movements at times. While performing the duties of this job, the employee is <br />regularly required to use hands to finger, handle, or feel objects, tools or controls. The employee <br />is occasionally required to stand, walk, reach with hands and arms, and stoop, kneel or crouch. <br />The employee must occasionally lift and/or move up to 25 pounds. <br />
