August, 2015 <br />CITY OF LITTLE CANADA <br />POSITION DESCRIPTION <br />Position Title: City Clerk <br />Department: Administration <br />Accountable To: City Administrator <br />PRIMARY OBJECTIVE OF POSITION <br />Provides administrative support for the City Council and the City Administrator in order to facilitate <br />the effective operation of Little Canada City Government. <br />MAJOR DUTIES AND RESPONSIBILITIES <br />1. Attends meetings of the City Council, Economic Development Authority, Planning <br />Commission, and Parks & Recreation Commission and prepares and distributes the <br />minutes of these meetings as well as assignment lists. Also makes appropriate files copies <br />of minutes for key items and processes minutes for availability in Laserfiche system. <br />2. Coordinates and assists in preparation and distribution of City Council, Economic <br />Development Authority, Planning Commission, and Parks & Recreation Commission <br />meeting agendas. Processes agendas for availability in Laserfiche system. <br />3. Drafts and coordinates publication and mailing of all legal notices for the City Council, <br />Economic Development, Authority, Planning Commission, and Parks & Recreation <br />Commission as required by State Statute and City Ordinance. <br />4. Ensures that the City's Records Retention System is maintained in a complete, <br />accessible, and up-to-date manner to facilitate prompt retrieval of materials and <br />documents. Oversees the retention/destruction of records in accordance with the adopted <br />State Record Retention Schedule. Prepares certified copies of documents upon request. <br />Processes some records in Laserfiche. Maintains minutes index. <br />5. Administers Minnesota Government Data Practices Act on behalf of the City. <br />6. Coordinates the processing of various planning and zoning applications. Ensures that <br />applicants have an understanding of the process as well as what is necessary to finalize <br />the recording of property divisions/plats with Ramsey County. <br />7. Records City documents with the Ramsey County Recorder's Office, as needed. <br />4 <br />
