City Council members and representatives from the Parks & Recreation Commission and the Planning Commission participated in a two-day retreat to review and update the adopted 2019 Strategic Plan. The 2022 Strategic Plan update was presented at the workshop on July 13, 2022, and was formally adopted by the City Council on September 28, 2022. To ensure strategic planning initiatives are continuing to fruition, staff established a re-occurring meeting every six weeks and has provided the City Council with, at a minimum, annual updates regarding the status of the action items. With the five-year term of the strategic plan fast approaching, staff is providing a 2023 update on action items and has developed a strategic plan progress reporting tool for internal and external use (See Attachment A). STRATEGIC PLAN PROGRESS REPORTING TOOL: The strategic plan progress reporting tool breaks each strategic direction into an easy-to-use and easy-to-update Excel file with five completion status categories monitored through a percentage tracking system. Additional information for each action item has been encompassed in order to document steps toward completion and provide a status of completion. Table 1 defines each heading within the progress reporting tool. Table 1: Strategic progress reporting tool heading definitions Heading Definition Strategic Direction The overarching four categories that define the overall strategic work plan Strategic Direction Result In the 2022 Strategic Plan, this is entitled "2-year result" The purpose of this column is to show the results of completed action items Action Items In the 2022 Strategic Plan, this is entitled "first-year actions" The purpose of this column is to show actions that need to be completed to obtain the direction result Status of Action Item A short key that shows the status of action items, graphically Key Outcome Indicator This column shows the true nuts and bolts of how to actually complete an action items Each of the key outcome indicators also has an assigned quarter timeframe Status of Action Item Notes The purpose of this column is to provide a short update on the status of the key outcome indicators and overall action item The status for each action item is broken into five categories and is based on 100% completion for each individual item. Table 2 outlines each category and definition.
