 When inclusions are held in locations that are more than 18 miles from 5900 Green Oak Dr., Minnetonka MN
55343 (driving), Little Canada will be billed at the federal rate for each mile over 18 miles both to and from the
program. In 2024 the federal mileage rate is $0.67 per mile.
 Reach staff working programs should be treated as an extension of the recreation staff team. The expectation is
that Little Canada staff will introduce them to the group, communicate directly with them about concerns, and
keep them in the loop about plans and schedule changes. This can be done via email or in person. Little Canada
staff should still communicate and interact with the person who is receiving services, just as they would any other
child.
 If there is an incident that occurs at a program where inclusion staff are scheduled, please send a copy of the
report to inclusion@reachforresources.org ASAP (within 24 hours of the event). This applies even if inclusion staff
are not present that day, but they will be back to provide support to the program at a future date. If there are any
safety concerns, please call the Director of Adaptive Recreation & Inclusion and leave a message if they are not
available.
 Inclusion staff should receive copies of emergency preparedness plans if these exist for any scheduled programs
prior to starting the inclusion.
 Inclusion staff may require specialized rental equipment to assist children with disabilities in participating fully in
recreational activities. To ensure the seamless provision of these services, contracted partners are requested to
provide such equipment free of charge when necessary for the program. Examples include but are not limited to
ice skates, bicycles, kayaks, paddleboards, canoes, skis, and/or snowboards.
 As long as it is safe to do so, inclusion support will be offered as an in-person service. In the event where it is
unsafe to meet in person at a given program, support may be terminated at the discretion of the Director of
Recreation. Unsafe scenarios may include but are not limited to natural disasters, threats of violence or
previously experienced violence, public health crises, and political unrest.
 An annual inclusion satisfaction survey will be offered to all participants. The results of this survey will be
evaluated and changes will be made if applicable. Survey results will be shared with the consortium.
 Inclusion Support Request Procedure:
o To request inclusion support for a program Little Canada staff are requested to go to this website:
https://www.reachforresources.org/services/inclusion/ and click on “Schedule an inclusion.” Fill out all
necessary fields. After this request is submitted, it will go into Reach’s queue for follow up. You are able
to save a PDF of your request after it is submitted, or you can request one at a later date.
o Reach will communicate with Little Canada staff for approval before attending any program to ensure
Little Canada would like to use their contract hours for the requested program.
o When requesting inclusion support, the requesting entity shall provide as much notice as possible after
registration is confirmed.
o Requests for inclusion support should not be made for individuals on a waitlist or who are not yet
registered. Participants must be on a confirmed roster to make an official request.
 Shift Filling Procedure:
