AGENDA POLICY <br />The following guidelines are intended to govern the preparation <br />of the City Council floor agenda and agenda packet. <br />Floor Agenda <br />Floor Agenda draft prepared on Wednesdays and finalized by <br />Thursday noon of the week prior to the City Council meeting. <br />Floor Agenda is prepared based on information received from <br />outside parties and input from City Staff and Consultants, with <br />final approval by City Administrator. Floor agenda is then faxed <br />to the Little Canada Press for publication in their next issue. <br />Floor agenda submitted to the CATV Producer for broadcast on the <br />City's Cable TV Channel. <br />Council Packets <br />The Friday of the week prior to the City Council meeting, Council <br />agenda packets are prepared and distributed to City Council <br />members. (It should be noted that preparation of the Agenda <br />Packet is an on -going process, with some items in the process of <br />preparation many days or even weeks prior to the meeting.) The <br />Floor Agenda is used as a guideline in preparation of the <br />Council's agenda packets. Items requesting Council action <br />received after the Floor Agenda is published, but before Council <br />packets are finalized on Friday, will be included in the Agenda <br />Packet in order to give the Council time to review the matter <br />prior to Wednesday's meeting. It is understood that if complete <br />information is submitted on an agenda item, Council action on <br />that item is typically anticipated. However, staff and the <br />requesting party understand that the City Council reserves the <br />right to table action on any item. <br />Additions to the Agenda <br />Requests for Council action items received after the Council <br />Agenda Packets are finalized will either be included in the <br />Additions to the Agenda distributed at the Council meeting, or <br />scheduled for discussion at the next Council meeting. This <br />determination will be at the discretion of City staff. Again, <br />the Council reserves the right to table action on any agenda <br />item. <br />It should be noted that staff uses the following guideline for <br />determining whether an item should be included on the Additions <br />to the Agenda: <br />In the interests of accommodating our citizens, staff will <br />abide by the applicant's request to place an item on the <br />Additions after informing the applicants that that City <br />Page 213 <br />
