1 <br /> <br />CITY OF LINO LAKES <br />POSITION DESCRIPTION <br /> <br />TITLE: Administrative Assistant <br />DEPARTMENT: Public Services <br />DIVISION: All <br />SUPERVISOR: Public Services Director <br />STATUS: Full Time/Non-Exempt/AFSCME <br /> <br /> <br /> <br />PRIMARY OBJECTIVES <br /> <br />The primary purpose of this position is to provide technical assistance for the Public Services <br />Department and to coordinate department services and policies. This position performs a variety <br />of office support functions in a prompt and accurate manner that contributes to the efficiency and <br />effectiveness of department operations. <br /> <br /> <br />ESSENTIAL JOB FUNCTIONS <br /> <br />The following job functions are intended to illustrate various types of work performed and are <br />not all inclusive. The job description is subject to change as the needs of the employer and the <br />requirements of the job change. <br />1. Inputs data and generates reports using the Cartegraph operations management system. <br />2. Prepares marketing materials and mailings for recreation programs, compiles seasonal <br />sports packets, assists with special events such as Blue Heron Days and Family Corn <br />Roast, codes and tracks revenues and expenditures for recreation programs, and provides <br />assistance at seasonal coaches meetings for youth sports. <br />3. Assists Utilities Supervisor by scheduling water appointments, notifying residents of <br />water violations, and helping with other administrative tasks as needed. <br />4. Assists Streets Supervisor with snow plowing issues, pot-hole concerns, street lights, <br />damaged signs and related billing. <br />5. Assists Parks Supervisor with the bid process for portable restrooms, schedules deliveries <br />and special cleaning, and bills various user groups. <br />6. Assists Mechanic by maintaining/processing license tabs and titles for all vehicles; <br />processes forfeited vehicles, manages fuel cards for employees; maintains updated <br />records of fleet in Cartegraph. <br />7. Maintains accurate payroll records for department employees, processes timesheets bi- <br />weekly, retains overtime records, tracks and manages work profile sheets, compiles, <br />processes, and maintains seasonal employee packets (background checks, PERA, <br />workers compensation, I-9 forms, W-4 forms, and work agreements).
