P53 <br />Employees may not carry over more than 240 hours of accrued vacation into the next calendar <br />year without approval from the City Administrator. <br />Employees may elect to use accrued vacation at the end of their employment with the City. <br />6.3 Sick Leave <br />Sick leave is accrued by all full -time employees at the rate of 3.69 hours per pay period. The <br />maximum accumulation is 960 hours. <br />In order to be eligible for sick leave with pay, an employee: <br />• Shall report promptly to their department supervisor the reason for the absence. <br />• Shall present a doctor's slip after three consecutive days absent from work. <br />Regular part-time employees accrue sick leave on a pro rata basis. <br />[See also Deferred Compensation Section 5.4 and Severance Section 9.4 for applicability to sick <br />leave.] <br />6.4 Leave Donation Program <br />The purpose of this program is to provide an opportunity for employees to voluntarily donate a <br />portion of their accrued vacation, sick leave, or compensatory time to assist an employee who has <br />exhausted paid leave due to a serious illness, injury, or impairment. <br />A. Program Eligibility <br />Only regular, non - probationary employees may participate in this program as a leave donor or <br />recipient. An employee may request donated leave to care for an "immediate family" member <br />when he or she is within one pay period of depleting all paid leave and is expected to be absent <br />from work for more than five work days after exhausting all paid leave. <br />To be eligible to donate leave time to another employee, the donating employee shall maintain a <br />minimum leave balance as set forth in this policy. <br />B. Leave Recipient Conditions <br />The terms and conditions governing the Leave Donation Program are as follows: <br />1. Recipients must provide documentation to Administration from a treating physician <br />regarding the illness or injury and the expected duration of the condition. <br />2. No employee will be allowed to receive more than 400 hours of donated leave for any <br />serious health condition. This cap is prorated for part-time employees based on full -time <br />equivalency status. <br />3. An employee is eligible to receive donated leave one time in a 12 -month period. <br />4. No employee who has historically maintained a minimal sick leave balance, or who has <br />previously been warned or disciplined for abusing sick leave, will be eligible to receive <br />donations. <br />17 <br />
