Administrative Assistant PW/Fire Updated: September 2025 <br /> <br /> <br />Fire <br />• Process fire code and burning permits <br />• Schedule and coordinate department activities and trainings including recording, tracking and running <br />reports <br />• Registers, enters, and maintains records for department personnel for training and processes tuition <br />payments as needed; provides year-end reports and verifies fire personnel training information for <br />various agencies. <br />• Maintain current and retired employee rosters and contact information <br /> <br />• All other duties as apparent or assigned <br /> <br /> <br />KNOWLEDGE, SKILLS AND ABILITIES <br />• Communicate courteously, effectively, and tactfully in written and oral form. <br />• Research and assemble information and prepare reports and studies. <br />• Exercise initiative, discretion and independence of judgment. <br />• Organize and manage multiple tasks, work effectively under pressure and complete work in a timely and <br />highly accurate manner with minimal supervision. <br />• Work cooperatively with City personnel, external vendors and the public. <br />• Be detail oriented and follow through with tasks. <br />• Work effectively independently as well as in a team environment. <br />• Perform duties with tact, diplomacy and discretion. <br />• Promote a cooperative atmosphere and exhibit a proactive and positive attitude. <br />• Maintain a team and service-oriented approach to work. <br />• Accept constructive criticism or discipline. <br />• Maintain and foster a work environment that supports the City's mission and values <br />• Commitment to exceptional customer service and a positive attitude. <br />• Demonstrates a team player approach and a high level of professionalism in assisting staff. <br />• Demonstrates initiative in process improvement opportunities. <br />• Ability to perform successfully with minimal supervision. <br />• Ability to maintain adequate and positive working relationships with staff and the public. <br /> <br /> <br />MINIMUM QUALIFICATIONS <br />• High school diploma or equivalent <br />• Two years of administrative support/clerical experience. <br />• Experience working effectively and courteously with the public. <br />• Ability to type 50 wpm and operate related office equipment <br />• Intermediate to advanced computers skills in: <br />o Microsoft Office (Outlook, Teams, Word, Excel, PowerPoint, etc.) <br />o Adobe Pro <br /> <br />DESIRED QUALIFICATION <br />• Associates or technical degree <br />• Five years’ professional administrative support experience <br />• Prior experience in Public Works, Fire or other municipality roles <br /> <br />
