• CITY OF MOUNDS VIEW <br />POSITION DESCRIPTION <br />Position Title: Assistant to the City Clerk/City Administrator <br />Department: Administration <br />Accountable to: City Administrator <br />Status: Exempt <br />PRIMARY OBJECTIVE OF POSITION <br />Provides administrative support to the City Council, City Administrator and requires strict <br />confidentiality. Performs a variety of routine and complex clerical, office management, <br />administrative and project management work. <br />Works with the City Administrator and other department directors to assure compliance with the <br />City's policies, goals and programs to achieve interdepartmental communication and <br />cooperation. <br />May coordinate general maintenance and repair work to maintain the City Hall building during <br />regular work hours and non-regular work hours as needed including determining need for, <br />recommending and arranging for outside contract service to maintain building operations, as <br />well as maintaining and purchasing office equipment. <br />• SUPERVISION RECEIVED: <br />Works under the closer supervision of the City Administrator. <br />SUPERVISION EXERCISED <br />May coordinate the daily activities of student workers/volunteers including work assignments, <br />reviewing quality and quantity of work performed and balancing workloads needed to support <br />other departments. <br />ESSENTIAL DUTIES AND RESPONSIBILITIES <br />Communications <br />• Complies, prepares and distributes agenda packets including City Council, EDA, and <br />various task forces for the City Council, Department Heads, and other parties to ensure <br />all parties are informed of items to be reviewed at scheduled meeting. <br />• Prepares and publishes legal notices and ordinances according to established law and <br />City procedures. Notarizes and certrfes official documents. <br />Composes, types, and edits a variety of correspondence including letters, newsletters, <br />resolutions, proclamations, reports and other materials requiring judgment as to content, <br />accuracy, and completeness. <br />May develop and coordinate the publication of the New Residents Guide, Business <br />Directory, Community Profile and Municipal Directory. <br />Coordinates, organizes and tracks multi-departmental committees to ensure effective <br />i communications and building operations throughout City Hall. <br />
