• May coordinate, monitor and program software for voicemail and telephone system to • <br />ensure efficient operation, including trouble-shooting and coordination of repair service. <br />Records Management <br />Prepares and maintains records and indexes, including, but not limited to, minutes, <br />ordinances resolutions and staff reports. <br />Develops, monitors and maintains Gity record retention schedules. <br />Develops system for collection, organization. and retrieval of city informationlreview and <br />recommend various proposals, license contracts and agreements. <br />Office Management <br />• Solicits bids for office equipment, supplies, stationery, maintenance and janitorial <br />supplies. <br />• Plans conferences, schedules appointments and training sessions. Schedules, <br />coordinates, or performs setup of rooms for meetings, or special events. <br />• Serves as liaison with building maintenance, equipment repair and telecommunications <br />technician persons as needed. <br />• Arranges and coordinates appropriate action in response to unforeseen circumstances <br />ar events that result for immediate action. <br />• Ensures duties are covered when custodian or receptionist is on vacation, absent, or <br />unavailable to perform duties required. <br />Human Resources • <br />• Assisting the City Administrator in Labor negotiations, contract administration and <br />grievances. <br />• Assisting in coordinating new employee hiring <br />• Assists the Payroll/Utility Clerk Technician in administration of employee benefrts <br />programs. <br />• Coordinates employee performance evaluations. <br />• Coordinates City Organizational development and employee training activities. <br />• Assists in the administration of the City's drug testing program and drug free workplace <br />for DOT and non-DOT employees respectfully <br />• Assists the City Administrator to ensure Affirmative Action/EOE Compliance <br />• Assist with analysis of union contract proposals in a confidential manner. <br />• Prepare and distribute New Employee Packets. <br />• Coordinate and administer employee related Health Insurance Benefit Contracts. <br />• Organize Annual open enrollment period. <br />Clerical Duties <br />• Assists the City Administrator on all duties of a City Clerk by ensuring compliance with <br />the Home Rule Charter and with other prescribed laws and regulations. <br />C1 <br />
