CITY OF MOUNDS VIEW <br />POSITION DESCRIPTION <br />Position Title: Administrative Assistant <br />Department: Police <br />Accountable To: Police Chief <br />FLSA Status: Non-Exempt (AFSCME) <br />PRIMARY OBJECTIVE OF POSITION <br />To efficiently and effectively manage the administrative functions of the Police <br />Department. To maintain a variety of police records and files in an updated and <br />accurate status at all times to ensure ready access to information as required or <br />requested. To act as Terminal Agency Coordinator (TAC) for the Department, <br />complying with state and federal requirements for training and auditing. To perform as <br />the Department Hub, disseminating information both up and down the chain. <br />SUPERVISION RECEIVED <br />Works under the general direction and guidance of the Police Chief and Deputy Police <br />Chief. <br />• SUPERVISION EXERCISED <br />None <br />ESSENTIAL DUTIES AND RESPONSIBILITIES <br />TERMINAL AGENCY COORDINATOR (TAC)/RECORDS MANAGEMENT <br />Act as Terminal Agency Coordinator (TAC) for the Department, complying with <br />state and federal requirements for training and auditing. <br />Responsible for MINCIS-NCIC entry of computerized records ensuring <br />compliance with state and federal regulations <br />Compile statistical information for crime prevention reports, weekly crime <br />updates. Maintain Sex Offender Notification files. <br />Make copies of offense reports for reference purposes as required. <br />Oversee processing, filing and classification of incident reports by other clerical <br />staff to ensure compliance with established procedures. <br />• Attend seminars or review information provided by the BCA to keep abreast of <br />changes that occur in specifications for classifying and reporting of police related <br />activities. <br />Compile various monthly and year-end reports, outlining the activities of the <br />department for the review and information of the Chief. <br />Clear cases fallowing disposition by the courts and ensure that all related <br />records are brought up to date and forwarded to the appropriate state agency. <br />• 11TrouttAdministrationlHumanResourcesUOBDESCR\POLICE1Atlmin Asst Da2D05 doc <br />
