4. An explanation of the City's Grievance Procedure <br /> • 5. Forward the signed photocopy of the termination notice to the Human Resource <br /> representative. <br /> Seasonal/Temporary Termination <br /> Seasonal and temporary employees may be terminated at the discretion of the respective <br /> department head with concurrence of the City Administrator. A termination should include the <br /> following. <br /> 1. A written memo explaining: <br /> • The nature of the violation. <br /> • The effective date of discharge. <br /> Other Disciplinary Action <br /> The City Administrator, or the Department Head with the concurrence of the City Administrator, <br /> may use some other form of disciplinary action such as involuntary demotion, forced transfer to <br /> a comparable position or withholding a salary increase in lieu of a suspension or termination. <br /> Other disciplinary action notices should include the following: <br /> 1. A written memo explaining: <br /> • The nature of the violation. <br /> • The summary of all the previous steps of discipline, if any. <br /> • The effective date of the action <br /> • The consequences of a repeat violation or continuing inappropriate behavior. <br /> 2. The employee should sign a photocopy of the notice acknowledging that they have <br /> received the original copy. This does not mean that the employee agrees with the <br /> • disciplinary action, only that they have received the notice. <br /> 3. The employee's response to the disciplinary action (if any). <br /> 4. An explanation of the City's Grievance Procedure. <br /> 5. Forward the signed photocopy of the disciplinary action notice to the Human Resource <br /> Representative. <br /> 6. In the event of a demotion or forced transfer, completed Personnel Action Notice <br /> authorizing the action. <br /> Demotions and transfers are required to complete a probationary period. For additional <br /> information pertaining to Probationary Periods, see Section <br /> Exceptions to Procedures <br /> In some instances all of the steps listed above may not be practicable and are not required to <br /> be included in the process. The City reserves the right to make exceptions to these <br /> procedures.
