He explained that it does limit their flexibility to go to other companies. Resolution 6565 Approving the Migration to IP Telephony (City Hall 13 Renovation Project). 14 15 Public Works Director Lee stated that this proposal is to convert the phone system at City Hall 16 from the current standard system and go to IP Telephony, which is an Internet protocol. He 17 stated that this is a system that many cities have converted to noting that they discovered that this 18 is one of the City Hall renovation soft costs SEH has been talking about. He explained that the 19 first step is to setup an IT system at whatever location the staff is relocating to. He stated that 20 they contacted Acticor to determine the costs to move the phone system and they were told that it 21 would cost a considerable amount of money and would be extremely difficult to move an 22 antiquated phone system from one location to another and back again. He stated that staff 23 reviewed other alternatives and Acticor also offered to switch the city over to the IP Telephony. 24 He explained that switching over to this system would allow the city to take their phones to any 25 site, plug in the phones and you are up and running with the same phone numbers. He stated that 26 at this point it would make sense for the city to switch over to this new system in conjunction 27 with the City Hall Renovation Project. He stated that staff is recommending approval and 28 authorizing the conversion to IP Telephony and enter into agreement with the City of Roseville. 29 30 Council Member Thomas asked who Roseville’s provider is. 31 32 Public Works Director Lee stated that he does not know who their provider is noting that the 33 Roseville representative was going to be here this evening to answer questions and was not able 34 to attend due to a personal situation. He indicated that this is very time sensitive noting that in 35 talking with Roseville they had wished they had come to them a month ago considering the 36 timeframes. He explained that it would take them one or two months to set this up. 37 38 Council Member Thomas noted that there are a lot of different providers and their services do 39 vary. She expressed concerns stating that she would prefer to wait until they have more 40 information before entering into a joint powers agreement. 41 42 Public Works Director Lee explained that the city already has a contract with Roseville for all 43 other IT items and this would be an add-on to this contract. 44 45
