He explained that it does limit their flexibility to go to other companies. Resolution 6565 Approving the Migration to IP Telephony (City Hall 13 <br />Renovation Project). 14 <br /> 15 <br />Public Works Director Lee stated that this proposal is to convert the phone system at City Hall 16 <br />from the current standard system and go to IP Telephony, which is an Internet protocol. He 17 <br />stated that this is a system that many cities have converted to noting that they discovered that this 18 <br />is one of the City Hall renovation soft costs SEH has been talking about. He explained that the 19 <br />first step is to setup an IT system at whatever location the staff is relocating to. He stated that 20 <br />they contacted Acticor to determine the costs to move the phone system and they were told that it 21 <br />would cost a considerable amount of money and would be extremely difficult to move an 22 <br />antiquated phone system from one location to another and back again. He stated that staff 23 <br />reviewed other alternatives and Acticor also offered to switch the city over to the IP Telephony. 24 <br />He explained that switching over to this system would allow the city to take their phones to any 25 <br />site, plug in the phones and you are up and running with the same phone numbers. He stated that 26 <br />at this point it would make sense for the city to switch over to this new system in conjunction 27 <br />with the City Hall Renovation Project. He stated that staff is recommending approval and 28 <br />authorizing the conversion to IP Telephony and enter into agreement with the City of Roseville. 29 <br /> 30 <br />Council Member Thomas asked who Roseville’s provider is. 31 <br /> 32 <br />Public Works Director Lee stated that he does not know who their provider is noting that the 33 <br />Roseville representative was going to be here this evening to answer questions and was not able 34 <br />to attend due to a personal situation. He indicated that this is very time sensitive noting that in 35 <br />talking with Roseville they had wished they had come to them a month ago considering the 36 <br />timeframes. He explained that it would take them one or two months to set this up. 37 <br /> 38 <br />Council Member Thomas noted that there are a lot of different providers and their services do 39 <br />vary. She expressed concerns stating that she would prefer to wait until they have more 40 <br />information before entering into a joint powers agreement. 41 <br /> 42 <br />Public Works Director Lee explained that the city already has a contract with Roseville for all 43 <br />other IT items and this would be an add-on to this contract. 44 <br /> 45
