Human Resources Director/City Clerk <br />Page 3 <br />City Clerk/Record Management/Office Management <br />• Works cooperatively with Ramsey County on election activities and performs or <br />delegates associated duties in accordance with the City Charter and with other <br />prescribed laws and regulations. <br />• Accepts candidate filings. <br />• Oversees canvassing of election results and recount process in accordance with <br />State and County requirements. <br />• Acts as Data Compliance Official; performs records management activities, <br />including code codification and file maintenance in accordance with the General <br />Records Retention Schedule; maintains department files and indexes for use by <br />self and other departments. Coordinates annual purge of documents for all <br />departments. <br />• Receives all legal processes served on the City; records, processes and distributes <br />Summons and Complaints accordingly, i.e. City Attorney, City Administrator, <br />League Attorney; maintains files on pending and ongoing litigation; collaborates <br />with City Attorney and League Attorney when necessary. <br />• Manages Communication Technician/Recycling Coordinator/Receptionist job <br />performance; planning developmental goals to motivate staff which benefit City. <br />• Actively pursues City Clerk IIMC certification if not already certified. <br />City Newsletter Editor <br />• Coordinates with City staff and community members to create timely/news worthy <br />articles for City Newsletter, the Mounds View Matters. <br />• Compose various employee communications, including articles for employee <br />newsletter and benefit bulletins. <br />• Edits incoming articles from staff and community members to ensure articles are <br />prepared for newsletter. <br />Administrative Activities <br />• Oversees coordination of City recycling programs and services including, annual <br />Clean -Up Day(s), promotional literature, and brochures with the Communication <br />Technician/Recycling Coordinator/Receptionist. <br />• Plans annual events for City Council (Town Hall meeting and employee <br />appreciation luncheon, etc.). <br />• Notarizes and certifies official documents. <br />• Composes, types, and edits a variety of correspondence including letters, <br />resolutions, proclamations, reports and other materials requiring judgement as to <br />content, accuracy, and completeness. <br />• Follows up on citizen and Council Member inquiries and requests for service, <br />particularly those not resolved at the department level. <br />• Effectively and respectfully communicates and interacts with Council, employees, <br />other organizations, and citizen customers. Maintains a positive professional <br />working relationship with all staff levels, other jurisdictions and outside agencies, <br />and the general public. <br />• Attends professional development workshops and conferences; stays up-to-date <br />with new trends and innovations. <br />
