Don Peterson <br />March 5, 2024 <br />Page 4 <br />b. Findings & Recommendations: This meeting will be held following the completion <br />of the draft planning recommendations. A presentation will be held describing the <br />findings of the needs analysis and community engagement process, along with <br />draft recommendations of the system plan in order to identify feedback, <br />concerns, and potential priorities to carry forward. <br />c. Draft System Plan Review: This meeting will be held following the completion of <br />the draft Park System Master Plan as part of the public review period necessary <br />for plan finalization. The community will be allowed to provide feedback on the <br />draft plan and priorities. <br />D. Pop-up Meetings & Events <br />1) The Consultant will facilitate and coordinate with the Client to determine optimal <br />locations and events throughout the community to hold quick pop-up meetings to <br />gather input and raise awareness of the project. These may vary in forms of <br />engagement generally lasting approximately up to 2 hours in length, plus preparation <br />time, and may include games, engagement activities, and maps or other graphics to <br />encourage interaction. A total of up to ten (10) pop-up meetings are included. Any <br />direct costs for snacks, food, games, or language interpretation will be included as <br />direct reimbursable costs to the Client with no additional mark-up. <br />E. Social Pinpoint <br />1) The Consultant will set up a customized project website with interactive map using <br />Social Pinpoint. The program allows for a drag -and -drop interface that can be easily <br />shared through various forms of social media platforms. This website will be used to <br />gather input from the community, gather feedback on planning recommendations, <br />and promote community engagement. It will also include up to two (2) surveys. <br />F. Social Media / Press Assistance <br />1) The Consultant will assist the Client in the development of imagery and information to <br />include in the City social media postings, development of post cards or mailers, and <br />drafting information to include in any press releases or newsletters. This includes up <br />to five (5) social media posts, two (2) postcard designs, and two (2) newsletters or <br />press releases. <br />4. PARK SYSTEM PLAN AND MEETINGS <br />A. Parks, Recreation and Forestry Commission Meetings <br />1) The Consultant will attend up to three (3) Parks, Recreation, and Forestry <br />Commission Meetings, as follows: <br />a. Project Startup: The Consultant will provide an overview of the planning process, <br />draft schedule, and gather input or feedback related to anticipated project goals <br />and outcomes. <br />b. Findings & Draft Recommendations: The Consultant will provide an overview of <br />the findings from the needs analysis and community engagement process, along <br />with draft recommendations for review and discussion. <br />c. Draft System Plan: The Consultant will preset the draft Park System Plan with <br />recommendations and priorities for review and discussion. <br />B.
