POSITION ACCOUNTABILITY WRITE-UP (Mounds View) <br />Position Title Administrative Secretary Date: Sept., 1987 <br />Department Administration <br />Accountable To Clerk -Administrator <br />Primary Objective of Position <br />To relieve the Clerk -Administrator of administrative detail <br />through the effective performance of assigned secretarial and <br />clerical duties so the maximum effort of the Clerk -Administrator <br />may be devoted to administration of the City operations. <br />Major Areas of AccountabiLLtX <br />Anticipates work of Clerk -Administrator and. takes initiative 1 <br />to complete as much administrative detail as possible. - <br />- Plans work assignments to make the most productive use <br />of available working time. <br />Composes or transcribes accurate correspondence, memos, 2 <br />letters and related materials according to established <br />policies or provided instructions. <br />- Consults with the Clerk -Administrator, as requited, to <br />establish workload priorities In the event of conflicting - <br />deadlines. <br />Answers telephone ;alls in a businesslike manner and handles 3 <br />those calls and ref.e:.red counter customers, whenever possible j <br />which do not need the immediate attention of the Adminis- <br />trator. <br />Organizes and maintains an orderly records management system 4 <br />for a variety of records and correspondence to ensure <br />prompt retrieval of information as required or requested. <br />- Maintains all asssigned records including, but not limited <br />to, ordinances, resolutions, and minutes in a current <br />status and provides information from such records as <br />requented. <br />Compiles and distributes City Council agenda packets to the 5 <br />City Council, department heads, and other interested <br />parties to ensure that all are informed of items to be <br />reviewed at scheduled meetings. <br />Updates as required and ensures distribution of revisions as 6 <br />directed of, <br />- City Code Book <br />- City Council Minutes <br />
