8) On page 15, section 4.4 part 3 states the city request bidder's to provide information and prices for optional equipment. Part 3 request prices and information on check verification. Total Reg.ister Systems did -not provide information and. price for check verification, therefore the bid should be rejected. Part 4 asks for information and prices on Surveillance System integration. Retail Data Systems identifies in their bid that it is not available at this time. Total Register Systems does not address the option at all. 9) on page 17, section 5.3 states "The bidder shall provide a quotation for the first year' s maintenance to comply with the following specifications. A separate, annual quotation is requested for extending this service for the next two years" . Total Register Systems does not provide the cost for service for one year, nor does it provide a separate, annual quotation for extended service for the next two years. Total Register Systems bid should be rejected for failure to provide these required quotations. Section 5.3.1, part I states "The vendor will be responsible for providing maintenance services for all of the inventory control system specific equipment and software and hardware obtained from this ' bid" . Total Register Systems states on the page titled Maintenance and Support, they - will maintain and support- all hardware and software purchased from them for one year from the delivery date to the store. This section of their bid continues by stating that they will act as the single point of contact when the stores experience problems, diagnose the nature of the problem, and respond as the service agent or contact Ameridata. I am confused as to how Ameridata participates in the purchase of this equipment, and to what role they play as our service agent. The RFB specifically states that the vendor is responsible for the entire system. Total Register Systems bid should be rejected because they are including another company to provide some level of service to us, which is not allowed by specification. 10) On page 19, section 6.2 part 3 states "No bid will be received if. it is detached from the package in which it is bound; nor must , any of the accompanying papers be detached therefrom, but the entire package must be unbroken and unaltered, in good order, and enclosed in a sealed envelop when the bid is deposited. Total Register systems deposited their bid in a cardboard box, taped shut, containing sales brochures which had the bid papers unbound and placed inside the sales brochures. I have included the bid as it was received by me, for you to view. This may seem to be a petty issue, but it does demonstrate yet another way that this bid fails to meet the requirements and specifications setf orth in the Request for Bids. 4
