Housing and Redevelopment Authority Meeting Minutes
December 18, 1996
•
Page 3
1 VII. APPROVAL OF CHANGE ORDER FOR COUNCIL BENCH.
2 Mr. Jim O'Brien, Williams/O'Brien Associates Inc., presented a document which
3 illustrated the allowance amounts left in the Graus Contract and the expected additional
4 expenditures. Mr. O'Brien explained the four allowances in the contract included
5 landscape, sign drop box, Council bench, and plaque. The allowance amount left in the
6 Graus Contract is $20,365.00. The expected additional expenditures include the fountain,
7 floor sealer, council bench as bid and additional to accommodate the television, drop box,
8 classroom towel holders/soap dispensers, lintel caulking, and addition of receptacle to
9 AV room. The total expected additional expenditures is $16,221.00. This results in a
10 balance of $4,144.00 in the allowance account.
I 1 The Council discussed the type of drop box they would like for residents to drop off
12 utility bill payments.
13 Mr. O'Brien suggested a "free-standing mail -box" type drop box. This would allow
14 residents to drive up to the drop box and use it without leaving their car. He suggested it
15 be placed on the far side of the parking lot under a street light. He noted if the drop box
16 was attached to the building it would be more difficult for people to use as they would
17 have to get out of their car.
0 Mayor Ranallo expressed concern that a free-standing drop box may be vandalized or
19 stolen.
20 Marks noted the entrance to the building is nicely sheltered.
21 Mr. O'Brien suggested the drop box be installed under the canopy on the interior wall of
22 the outside of the building. The drop box would be a locked box which an employee
23 could unlock and remove the contents in the morning.
24 There was Council consensus to install the drop box under the canopy on the interior wall
25 of the outside of the building.
26 Mayor Ranallo noted there were cable funds which could be utilized to pay for the
27 additional costs for the Council bench to accommodate the television.
28 Mayor Ranallo also noted he and Tom Burt had been given $500.00 from a resident some
29 time ago and asked to contribute the funds to a new building. Mayor Ranallo stated he
30 will contact the resident and inquire as to how he would like the funds utilized.
31 Motion by Marks, second by Enrooth to approve the expected additional expenditures of
$3,500.00 for the fountain, $300.00 for floor sealer, $9,243.00 for Council bench as bid
di and an additional $1,200 to accommodate the television, $800.00 for drop box, $550.00
