Page 9 of 26 <br />Updated: 4/15/2021 <br /> <br />b. Mailing <br />i. Individual packets will be mailed when participant’s minimums are met <br />up to 14 days prior to the event day. <br />ii. When mailing packets- t-shirts and jerseys should not be included, but <br />rather use the “day of” distribution method to deliver those pieces. <br />c. On-site <br />i. Friday <br />1. Individuals who did not receive their packet mailed to them will <br />be able to pick up their packet on site on Friday of event <br />weekend. Hours will be defined by ride and location. <br />ii. Saturday <br />1. A customer service only oriented Saturday morning packet pick - <br />up (not to be an advertised option) will be available for those who <br />lost or forgot their packet, etc. If a participant needs to pick -up <br />their packet on Saturday morning, they must complete the health <br />screening confirmation and obtain their wristband first. <br />a. This area should have at least 1 staff person, at it at all <br />times to be in charge of the money handling chain of <br />command. This tent will be the go-to for any issues or <br />problems any riders have as well as a place to drop off any <br />additional funds they might have brought. There needs to <br />be a secure money collection device (ie: a self-standing <br />container/tub with opening large enough to drop off <br />envelopes – see suggestion/idea below) that a rider can <br />just walk by and drop off envelopes into. This device will <br />accept pre-filled out envelopes by the participant <br />indicating their information and where money should be <br />credited to. Minimum information needed is full name, <br />address, phone and email address for batch processing. <br />b. When event is finalized at least 1 staff person and 1 other <br />person (volunteer or staff) will need to be present to <br />package up donation envelopes for shipment into secure <br />plastic bags and ship to batch mail processing center. The <br />staff person will include a coversheet with the donation <br />confirming market and event name for the allocation of <br />funds credited to the correct event. <br />c. An unadvertised money collection device will be provided <br />by the operations team – this device will accept pre-filled <br />out envelopes by the participant indicating their <br />information and where money should be credited. <br />Operations Team will operationalize that process at the <br />event level.
