Staff and volunteers will be enforcing the safety protocols <br />(physical distancing, mask wearing, etc.) which also <br />includes verification that the color of their wristband <br />(Wristband will only be available at packet pick-up on the <br />Friday of the event or at a Saturday morning check-in <br />process – see screening section for details) matches the <br />color assigned to the current Venue Access Window. <br />c. Spectators are not permitted. <br />2. Process – Pre-event <br />a. Once the timing of the Venue Access Windows is identified by the Event <br />Production Team (no later than 7 weeks out) the Relationship Team will assign <br />those windows (beginning 6 weeks out) to all participants through personalized <br />outreach based on the recommended priority segments (i.e. phone call to top <br />team captain offering special access to early window selection). This <br />personalized outreach will provide an opportunity for a great customer service <br />touch point and also offer an additional perk to these segments. Unassigned <br />participants after working through the segments will be assigned windows based <br />on availability. All assignments must be completed by the Friday prior to the ride. <br />i. Includes identification and utilization of a technology that supports <br />communication of the required window information, records and tracks <br />the time, and creates a list to be utilized for check-in at the Mandatory <br />Check-in Tent on the day of the event. <br />b. Recommendations for prioritization of groups or individuals for pre - <br />selection/pre-assignment of Venue Access Windows as determined by the <br />Relationship Team. Segments may need to be combined or separated based on <br />the size and number of available windows as determined by the Event <br />Production Team. <br />i. Priority Segments: <br />1. Top Fundraising Club + guest & IRWMS + guest <br />2. Gold Level or higher sponsors <br />3. Fundraising & Recruitment Contest winners <br />4. Teams <br />a. Top 3 teams in each division OR <br />b. Prioritize by Team Fundraising Total <br />
